Your privacy is very important to us. In this privacy statement we explain what we at International Creative Projects (Biobased Creations) do with the information we process and store. We keep to the EU’s General Data Protection Regulation (GDPR). This means your data are safe with us and that we always use them correctly.

This also means that we:

  • Process your personal data in accordance with the purpose for which they were provided, these purposes and the kinds of personal data stored are described in this statement;
  • The processing of your personal data is limited to the data that are necessary for the purposes they are processed for (this is called dataminimalisation);
  • Request your express permission when we need to for the processing of your personal data;
  • Have taken appropriate technical and organizational measures to ensure the security of your personal data;
  • Do not share personal data with third parties, unless this is necessary for fulfilling the purpose for which they were provided;

News Letter

Basis: direct permission

You can subscribe to our newsletter in several ways. In this newsletter, we provide you with regular updates on our projects and activities. For this purpose, we collect your first and last name and your email address. These data are stored until your unsubscribtion. You may unsubscribe at any moment. Every newsletter contains an unsubscribe link. Your email address will only be added to our list of subscribers with your express permission. These data are stored until your unsubscribtion.

Clients, customers and suppliers

Basis: execution of agreement

To be able to comply to our administrative obligations, maintain contact about progress and complete our assignments, we also process and store data of our clients, customers and suppliers. For this purpose, we may store name, address, telephone number, email address and bank details. These data are stored for the term of the agreement and after that in the financial administration for 7 years.

Contractors

Basis: execution of agreement

Of our contractors, data are processed and stored to help ensure the performance of the agreement and to be able to comply to the (legal) administrative obligations. For this purpose, we may store name, address, telephone number, email address and possibly gender. These data are stored for the term of the agreement and after that in the financial administration for 7 years.

Employees, interns and volunteers

Basis: execution of agreement

Of our employees, interns and volunteers, we also process and store data to help ensure performance of the agreement and to be able to comply with the (legal) administrative obligations. For this purpose, we may store name, address, telephone number, email address, date of birth, gender, social security number, bank details and a copy of an ID. These data are stored for the term of the agreement and after that in the financial administration for 7 years.

(Project)relations, stakeholders, lobby contacts and other professional contacts

Basis: justified interest

To be able to realize our projects and activities, we are maintain contact with many different parties and organizations. We process and store the names and email addresses, and sometimes telephone numbers, of professional contacts we receive through business cards and with verbal consent. In this process, we make an assessment of the business interests. All these data are safely stored and only for as long as they are of relevance to the realization of our projects and activities.

Photo and video

Basis: justified interest

It may occur that we photographically record you as a visitor or bystander of our projects, events or actions. This may (sometimes) be viewed as personal data. We use photo and video to communicate about our activities to our public and to report to our partners and financiers. Based on a n assessment of interests, we may choose to save (and publish) a photo or video with you in it. You always have the right to object to this. Please contact us if this is the case.

Cookies

Our websites may use cookies. These can be used to store data so you only have to submit some data once, but we may also use it to register that you visit us again online. In principle, all our cookies are so-called ‘functional’ or ‘analytical’ cookies, but it may occur that other types of cookies are also used (for example through certain embedded videos), or that ‘tracking-cookies’ are placed. Via our cookie-wall you can manage your cookie settings.

Google Analytics

We may make use of Google Analytics to register how visitors use our online services. We have entered into a processors agreement with Google. In this agreement, we have set what Google may register. We have not allowed Google to use the Google Analytics information for other Google services. We have Google anonimize IP-addresses.

Third parties

We only share your personal data with other companies or institutions when this is deemed necessary for our operational management or because of legal obligations. One example is that we will file a police report when confronted with suspected fraud. We also use third parties for our accounting and to send news letters. Our contractors may be provided with access to the personal data they need to perform their assignments.

Minors

We only process personal data of minors (persons youger than 16 years old) when written permission was provided by their parent, guardian or legal representative.

Retention period

International Creative Projects does not retain personal data any longer than necessary to attain the purpose for which these were provided, or in compliance with legal obligation.

Security

We have taken appropriate technical and organizational measures to ensure that your personal data are protected from unlawful processing. We have taken the following measures, among others:

  • All persons who may take knowledge of your data on behalf of International Creative Projects, are taken to confidentiality;
  • We maintain a user name and password policy on all our systems;
  • We make regular back-ups of the personal data to be able to recover them in case of physical or technical incidents;
  • We regularly rest and evaluate our measures;
  • Our employees have been well informed on the importance of the protection of personal data.

Changes in this privacy statement

If our online services change, so must we adapt our privacy statement. We will do our best to inform you of any changes.

You have the following rights:

  • receive explanation about which of your personal data we have and what we do with them
  • inspection of the precise personal data we have of you
  • have us correct mistakes
  • have us remove obsolete personal data
  • revoke permission
  • object to certain uses

Please make sure to always clearly indicate who you are, so we can be sure we do not change our records of the personal data of the wrong person.

Complaints

Should you have a complaint about the processing of your personal data, we kindly request you contact us directly about this. In case we do not reach a satisfactory conclusion, this is naturally something we deplore. You always have the right to file a complaint at the Autoriteit Persoonsgegevens (the Dutch authority for personal data), the supervisory authority in the area of privacy protection.
